Publishing in JLUdata

Preliminary remarks

JLUdata is the research data community of the institutional repository JLUpub. In JLUdata, you can publish (including DOI registration) and permanently store research data of all kinds that have been generated in the course of research activities at Justus Liebig University. The data is stored on storage systems in the IT Service Centre (HRZ) of the Justus-Liebig-University Gießen. The registration is done via the g- or s-identifier. All members of the Justus-Liebig-University Gießen can use JLUdata. External users, e.g. doctoral students who are no longer working at JLU, can register with a valid email address.

Step 1: Login and submit data

Please log on to https://jlupub.ub.uni-giessen.de by clicking the Login-button in the upper right corner, then select Login with JLU (g-/s-)Username and authenticate with your g- or s-ID (“Uni-Account”). If you are no longer working at JLU (e.g. PhD students) choose Login with JLUpub Account, create your own user account with a valid email address and then log in with your registered user account.

To submit items, you can proceed as follows:

Click on “start another submission” and then select the collection “JLUdata > Forschungsdaten”.

Step 2: Describing the data

In the process of submitting your research data, you are asked for entering various information on the data set. The descriptive metadata serve primarily to enhance the findability and visibility of your data. All information about a data set should be represented by the metadata to ensure optimal visibility and reusability of the data. This also applies, for example, to the assignment to (third-party) projects or the link to other resources and publications. The following information is requested when entering your research data (mandatory fields are marked with * and highlighted in grey):

Step 3: Obtain DOI

After you have entered all the information, you get to the “Persistent Identifiers” tab. Here JLUpub shows you which DOI your data set will receive. You can copy it and paste it into related documents if necessary. Please note that this DOI is only reserved for you at this point. In case of a rejected submission and subsequent re-submission, it may also result in a new DOI.

Step 4: Upload the files

Next you can upload the file(s). You can upload data sets, images, audio files, video files, models, software and other research data. To submit files, click on “Browse” and select the file(s) on your computer.

Please upload only files with a maximum size of 2 GB. If you want to upload larger files or amounts of data, please contact forschungsdaten@uni-giessen.de.

Please clarify before submission which files should belong to a record (searchable entry in the repository). A set of files and their metadata form one record in the repository. A DOI will be assigned for each published record.

JLUdata does not limit the selection of file formats. However, there are generally no guarantees that certain formats will still be readable in the future. It is therefore advisable to convert your files into one of the recommended formats before uploading. The JLUdata team will also provide advice on this issue.

Your files should be named clearly and meaningfully. If necessary, describe the contained files in a separate text file, which you upload together with the data files.

Step 5: Review Submission

In the “Review” tab you can check all metadata and files you have entered once again and correct them if necessary. Please check your entries carefully.

Step 6: Licensing the data

A license regulates the rights of third parties to use your research data.

In its “Appeal for the use of open licenses in science” (2014), the Alliance of German Science Organizations recommends the granting of CC0- or CC-BY-licenses:

Under “Creative Commons” in the drop-down list you can decide which rights of use you want to grant. If you choose “no Creative Commons license”, the regulations of the publishing contract and, if applicable, the copyright protection (https://rightsstatements.org/page/InC/1.0/?language=en) apply.

Before licensing, please make sure that you are authorized to grant a license for all data to be submitted. A subsequent modification of the selected license is possible as long as the data set has not yet been published.

Step 7: Publishing contract

Read the publishing license and confirm your agreement by ticking the box (required). Then send your data record by clicking on “Complete submission”.

Step 8: Done!

The metadata of your data set will be checked by the University Library and, if necessary, corrected and completed. Afterwards your data set will be added to the repository. Please allow us up to three working days for the approval. You can submit additional data sets via the link “Submit another item”.
